Magic Map Getaways — Client Terms & Conditions
Please read these Terms & Conditions carefully. By submitting a booking request and/or payment, you (the “Client”) agree to be bound by the terms herein.
1. Our Role as Agent
Magic Map Getaways (the “Agency”) acts as a sales agent for third-party travel suppliers, such as airlines, hotels, cruise lines, tour operators, and car rental companies (the “Suppliers”). We do not own, operate, manage, or control these Suppliers. Your booking creates a contract between you and the applicable Supplier(s), and their terms and conditions will apply to your travel.
Our planning services are provided at no cost to you. The Agency is compensated by the travel Suppliers, not by our clients.
2. Client Responsibilities
- Document Accuracy: You are responsible for reviewing all travel documents (invoices, itineraries, tickets) for accuracy. Please check that all names, dates, and details are correct. All traveler names must match their government-issued photo ID (or passport for international travel) exactly.
- Travel Documents: You are responsible for ensuring you have all necessary travel documents, including valid passports (often required to be valid for 6 months after your return date), visas, and any required health/vaccination certificates. The Agency is not responsible for any issues arising from your failure to have proper documentation.
- Travel Risks: You acknowledge that travel involves inherent risks, including but not limited to health risks (e.g., pandemics), political instability, natural disasters, and crime. You agree to assume all such risks. We strongly recommend visiting the U.S. Department of State’s website (travel.state.gov) for the latest travel advisories.
3. Booking & Payment
- Deposits & Final Payment: Your booking is not confirmed until the required deposit is paid. Final payment due dates will be clearly stated on your invoice. Failure to make the final payment by the due date may result in the automatic cancellation of your booking, and all payments made may be forfeited.
- Credit Card Authorization: By providing your credit card information, you authorize the Agency and/or its Suppliers to charge your card only for the travel components you have approved for your specified destination — deposits, final payments, and any fees you have agreed to in writing. Your card will never be charged for anything you have not authorized.
- Pricing: All prices are quoted in U.S. Dollars unless otherwise specified. Prices are subject to change and are not guaranteed until your booking is paid in full. Prices do not include airfare, baggage fees, travel insurance, or items of a personal nature unless explicitly stated.
4. Cancellations & Changes
- Your Request: All cancellation or change requests must be submitted to the Agency in writing.
- Fees Apply: You will be responsible for all cancellation or change fees imposed by the Suppliers.
- Non-Refundable Components: Many travel components (especially airfare, cruise deposits, and special promotional packages) are 100% non-refundable.
- Supplier Changes: Suppliers reserve the right to alter or cancel travel itineraries at any time. The Agency is not responsible for any such changes or any costs incurred as a result.
5. Travel Insurance
Travel insurance is strongly recommended to protect your investment. We urge you to purchase a comprehensive travel insurance policy that covers trip cancellation, trip interruption, emergency medical expenses, baggage loss, and other unforeseen events.
If you choose to decline travel insurance, you are assuming all financial risk associated with your travel. The Agency is not liable for any losses, costs, or damages you may incur as a result of declining to purchase or having inadequate insurance coverage.
6. Your Information
We collect personal information (names, dates of birth, contact and payment details) solely to book and manage your travel. We share it only with the Suppliers involved in your trip and never sell it to anyone.
7. Liability & Disclaimer
- No Responsibility for Suppliers: As we act only as an agent for Suppliers, we are not responsible for their acts, errors, omissions, or failure to provide services. We are not liable for any injury, damage, loss, accident, delay, or irregularity which may be occasioned by reason of any defect in any vehicle or through the acts or default of any company or person engaged in conveying the passenger or in carrying out the arrangements of the tour.
- Force Majeure: The Agency shall not be liable for any failure or delay in performance resulting from causes beyond our reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, pandemic, government actions, or supplier bankruptcy.
